CafeOS ("we," "our," or "us") operates a cloud-based cafe operating system helping business owners manage dine-in, takeaway, and digital menu experiences. We respect your privacy and are committed to protecting any personal data we process.
This Privacy Policy details how we collect, use, disclose, and secure information when you register a tenant workspace, visit our landing pages, scan a table QR code as a customer, or interact with our Captain applications.
2. Information We Collect
We collect information in several ways depending on how you interact with our platform:
- Tenant Information (Owners/Managers): When registering or onboarding, we collect your business name, address, contact phone number, email address, timezone, and billing details.
- Staff & Captain Data: We collect usernames, email addresses, and active session tokens for cafe staff and waiters registered to manage tables or process bills.
- Dine-In Guest Data: When guests scan a table QR code, we may collect minimal data like table numbers and shopping cart choices to process order requests. We do not store credit cards or payment credentials directly.
- Analytics & Usage Data: We track page views, clicks, order processing times, and average order values to generate performance charts on the owner dashboard.
3. How We Use the Information
We use the collected information for the following business purposes:
- To provision and maintain your tenant space, catalog products, and tables.
- To route order notifications to KDS (Kitchen Display System) screens or captain devices in real-time.
- To enforce plan-specific limits (e.g. max staff, tables, or integration boundaries).
- To provide business owners with sales analytics, daily billing totals, and tax summaries.
- To send transactional emails (such as onboarding credentials, plan upgrades, and password reset codes).
4. Data Sharing & Disclosures
We prioritize data confidentiality. We do not sell or lease your business details or your customers' order history to third-party advertisers. We only share data in the following restricted scenarios:
- Service Providers: We use secure hosting providers (such as AWS or Vercel) and email delivery services (like Gmail SMTP) who are bound by confidentiality clauses.
- Legal Compliance: If required by law, subpoena, or regulation to protect the safety and security of our platform, staff, or visitors.
5. Data Security & Retention
Your data is housed in encrypted databases utilizing industry-standard security protocols. We retain your information for as long as your tenant subscription is active, or as necessary to meet accounting, legal, and operational reporting requirements.
6. Your Rights
Owners and managers can access, update, or correct their business parameters directly in the Settings panel of the CafeOS dashboard. If you wish to delete your entire workspace, clean up your customer logs, or request database exports, please email goouthamm@gmail.com.
